Job Description
Executive Assistant
We are looking to hire a full-time Executive Assistant to provide high-level support for company executives and provide general office administration support. Requires strong computer skills, project coordination experience, flexibility and excellent interpersonal abilities to work well with all levels of internal management and staff, outside clients and vendors.
• Act as the point of contact between the executives and internal/external clients.
• Make and receive calls, take messages and route correspondence.
• Type reports, memos, letters and other documents using MS Word and other relevant computer software.
• Produce reports, create presentations and briefs.
• Read and analyze incoming memos, submissions and reports to determine their significance and plan their distribution.
• Maintain calendars, arrange meetings and appointments and provide reminders.
• Record, type and distribute meeting minutes.
• Make travel arrangements.
• Process expense reports.
• Perform general office duties such as monitoring and ordering supplies and maintaining records in relevant database systems.
• File and retrieve corporate documents, records and reports.
• Greet visitors and determine whether they should be given access to specific individuals.
• Order facilities maintenance when needed.
• Work with outside vendors who provide services (e.g., Cintas, coffee supplies, etc.) and pay vendor invoices.
• Assist Human Resources Manager with administrative duties.
• Other duties as required.
• At least five years’ proven experience as an executive administrative assistant, senior executive assistant or other similar position.
• Full comprehension of office management systems and procedures.
• Advanced knowledge of MS Office, including Word, Excel and PowerPoint. Excellent knowledge of MS Outlook.
• High level of verbal and written communication skills, including grammar and professional business writing skills.
• Exemplary planning and time management skills.
• Up-to-date with advancements in office technology, tools and applications.
• Ability to multitask and prioritize daily workload.
• Discretion and confidentiality along with a sense of urgency and the ability to function independently.
• High School degree required. Associates or Bachelor’s Degree preferred.
Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
Physical Demands
This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary.
Expected Hours of Work
This is a full-time position. Days and hours of work are typically Monday through Friday, 8:30 a.m. to 5 p.m., based on the needs of the position.
No overnight travel is expected for this position. There may be occasional local day travel.
